Establish what the system includes
Start with records you already hold. Equipment documents may identify the system type, fans, filters, controls and any heat-recovery unit. A service record can show what was included in previous work and which items remain outstanding.
If documents are missing, say so. Don’t open housings or enter concealed spaces to identify equipment for an enquiry. A visible label or existing record is enough to establish the details you know.

Make the maintenance scope explicit
A general request to service the ventilation can leave important boundaries unclear. Explain whether the requirement concerns one room’s extraction or a larger system, and which equipment you expect the proposed work to cover.
Questions worth resolving include:
- Which equipment and areas are included?
- What do the available manufacturer instructions require?
- Which components need access arrangements?
- What records should follow the work?
- Are there previously recorded faults or outstanding items?
Cleaning, component attention and investigation of a fault are different tasks. A proposed scope should make those distinctions clear, rather than promise that every component receives the same treatment.
Report changes before assigning a cause
If operation has changed, record what you’ve already noticed. Useful details include an unusual noise, a displayed message, when the change began and which rooms are affected.
Keep an observed symptom separate from a diagnosis. A maintenance enquiry doesn’t need you to adjust controls, dismantle equipment or reproduce a fault. Explain whether equipment is currently in use and mention any action already taken under existing arrangements.
Use records to plan the next work
After maintenance, retain the description of work completed and any items identified for later attention. That record provides context for future enquiries and helps distinguish repeat concerns from new ones.
